Your ClassBento dashboard includes a Calendar, which has powerful features that let you easily manage your schedule. This article gives you tips on how to make the most of this feature.
To access it, just go to the 'Calendar' tab, at the top of your dashboard, per the screenshot below.
This calendar shows you your upcoming sessions, as well as a summary of each. You can customise this to your liking:
- See all sessions, not just the ones which have bookings - to enable this, go to your 'Account' tab and toggle the "Show all upcoming sessions on your Dashboard (Sessions List and Calendar), even if they have no bookings" option.
- Switch between different views (eg week vs month) via the buttons in the top right of the Calendar
- Customise your event colour scheme, to colour-code the sessions according to how many bookings they have - this can help you to easily identify sessions that are sold out (where you might want to add more nearby sessions), or sessions that have very few bookings (which you might want to advertise more to fill up)
Using the Calendar:
- Tap on any individual Calendar event to see more details about it and to take action - e.g. tap on a 9th of October event, and you'll see the guests enrolled in that session, and you'll be able to refund/reschedule them, as well as the other actions you can usually take from your Dashboard
- Tap and hold (on mobile) or right click (on other devices) on individual Calendar events to quickly update the number of spots left, or delete the session (only works on public sessions)
- See the Key / Legend at the bottom of your Calendar tab to understand the colour codes and what's being shown
Additionally, you can also:
- Import your external calendar. As an example, if your personal email is myname@gmail.com, our system can fetch the events from the calendar of this Gmail account automatically and put them into this ClassBento Calendar - this way you can easily see all your life/work events in one place. To set this up, just tap the 'Import Calendar' button at the top (you'll only need to do this once) and follow the instructions there
- Add guests - eg if you have guests who booked via other sources, you can add them into your sessions so you can see them all in one place - just tap the 'Add guest' button at the top
- See on your Calendar customers who have not yet booked, but might book soon from accepted Requests, or Invites - this can help you to better understand your upcoming availability (eg to decide when to set up new classes) - just tap the 'Potentials' button at the top
If your Calendar is looking cluttered because you have too many events:
- Set shorter class 'nicknames', so that their names don't take up as much space in your Calendar events - e.g. instead of "Introduction to Italian cooking", you could give it a nickname of "Italian" or even just "IT". To do this, just go to your 'Accounts' tab, and enable the 'Show Dashboard name option on listing-editing pages' setting, then set short names via your listing editing pages
- Set up Tags for your listings, then filter your Calendar's events by Tag - eg you can use this to only see classes that you're running in City X, only kids classes, only classes taught by Instructor Y, etc. To do this, tap the "Manage Tags" button in your "Listings" tab
Working with other team members? You can easily share your Calendar alongside relevant bits of your Dashboard. Just go to your 'Account' tab, and near the bottom you'll see a 'Additional User Accounts' button where you can set that up.
If you want to see your upcoming bookings/sessions in other ways, you can tap the "Sessions list" at the top to see a simple chronological list of upcoming sessions, or tap the "Orders list" to see it listed by order (rather than session), by date of order.
